Zendesk

Zendesk still runs on decisions nobody remembers making.

Smart Instinct is a helpdesk implementation and AI agent setup agency, and a Zendesk Preferred Partner of 6 years. We audit for $500, build from $3,750 and migrate from $3,500. Zendesk can do almost anything, which is exactly why so many instances drift. Features pile up, triggers start contradicting each other, and the AI answers questions nobody scoped it to touch.

Every one of those decisions made sense the day it was made. Then the team changed and nobody had time to revisit a rule that was working. We configure Zendesk so the platform earns the subscription again.

Builds from $3,750. Last updated August 1, 2026.

What Zendesk actually is

The most established customer support platform in the category: ticketing, omnichannel routing, a help center, SLAs, a deep app marketplace, and one of the most capable AI layers on the market through Zendesk AI agents and Copilot.

Its strength is range. Its risk is the same range, because every feature you can turn on is a feature that can drift out of sync with how the business actually runs. Zendesk rewards deliberate configuration and quietly underperforms when it is set once and left alone.

What we find in nearly every Zendesk audit

What we configure

Zendesk AI agents and Copilot

Two separate products. AI agents talk to customers directly across email, chat and messaging. Copilot helps your human agents with drafts, suggestions and summaries.

We scope the AI agents to specific knowledge sources, force escalation on the edge cases, and block them from improvising policy, then tune against your real ticket history before they touch a live customer. The build we shipped for The San Francisco Marathon reaches 56% deflection in production, and 67% the following year.

Yours depends on knowledge base maturity, ticket complexity and how aggressive you want the AI to operate. Anyone quoting you a number before seeing your data is guessing.

The legacy custom objects deadline has passed

Zendesk retired legacy custom objects, the old Sunshine framework, in two phases. From January 15, 2026 you could no longer create new legacy objects. On July 27, 2026 the legacy experience stopped working entirely.

If your instance still ran legacy objects, the workflows built on them are already broken. There is no automated migration tool and there never was. It is CSV export through Admin Center plus a manual rebuild on the current framework, which we quote as its own line with an hour count rather than burying it in a project total.

Zendesk does offer a one-time six-month extension request. If you have not filed one and you are still on legacy objects, that is the first call to make, before ours.

What it costs

Fixed price, identical on every platform page, because pricing never varies by platform. Tiers are set by scope, not by the size of your team.

Audit $500 flat, credited toward any project booked within 30 days. Retainers from $800 a month. Migrations from $3,500. Enterprise from $25,000.

Each tier is a fixed price for the scope limits listed, not for a company of a given size. Past a limit: $1,250 per integration, $2,500 per brand, $3,750 per platform. Agent counts are guidance, not a rule.

Best for

  • Teams that need range: omnichannel, deep automation, a broad app ecosystem and strong AI.
  • Operations standardising multiple brands or regions on one configurable platform.
  • Teams that will invest in deliberate configuration rather than turning on every feature.
  • Anyone still carrying legacy custom objects who needs them rebuilt properly.
  • Buyers who want a fixed price and the configuration handed over documented.

Not a fit if

  • You want the simplest possible shared inbox with minimal admin overhead. Look at Help Scout.
  • Nobody will maintain knowledge and configuration as the business changes.
  • You want a guaranteed deflection percentage in the contract.
  • Your budget is under $500, which is the audit floor.

Sometimes the right answer is to stay and reconfigure rather than migrate, and we will say so on the call.

Questions we get on the call

How long have you been a Zendesk Preferred Partner?

Six years. Separately, our founder has 16 years of experience in the category, including ten years at a prior Zendesk partner before building Smart Instinct. Those are two different numbers and we keep them apart.

Can you still migrate our legacy custom objects?

Yes, but the legacy experience stopped working on July 27, 2026, so anything built on it is already broken rather than at risk. It is CSV export and manual rebuild, quoted as its own line with an hour count. Zendesk offers a one-time six-month extension request if you have not used it.

What deflection will the AI agents reach?

We do not quote a number before seeing your data. The San Francisco Marathon build reaches 56% in production and 67% the following year. Where you land depends on knowledge base maturity, ticket complexity and how aggressive you allow the AI to be.

How fast do I get a price?

On the scoping call. A fixed price, not a range you chase through a proposal cycle.

Who owns the configuration when you leave?

You do, documented. The price includes writing it down. We do not hold the keys.

Should we migrate off Zendesk instead?

Sometimes, and we will tell you. Plenty of instances that feel broken are configured for a business stage the company outgrew, and reconfiguring in place is cheaper and faster than moving.

Bring your worst tickets.

Thirty minutes, no charge. We will tell you what it costs to fix them, or that reconfiguring is the wrong move right now.
