About

We are what your last agency hire was supposed to be.

Smart Instinct is a helpdesk implementation and AI agent setup agency. We configure, optimise and migrate the helpdesks you already pay for so they fit the business they actually serve.

A specialist team, a documented method, and the founder still in the room for strategy and audits. No bench warmers, no buzzword smuggling.

What we are, and what we refuse to be

A specialist agency doing one thing across twenty-one platforms. Implementation, configuration, migrations, AI agent setup, audits and ongoing optimisation.

We do not build websites. We do not run paid ads. We do not drift into digital transformation language when the work gets hard.

The agency is deliberately small. Not a fifty-person shop where the senior person from the sales call disappears the moment you sign. Not a solo freelancer with a single calendar and a wifi excuse either. The middle: a tight specialist team running a documented method, with the founder in the loop on strategy, audits and anything needing senior judgment.

The founder

Jay Biros, founder of Smart Instinct

Jay Biros founded Smart Instinct in October 2019, after a decade at a Zendesk partner and years inside support operations across ecommerce, SaaS, gaming, eLearning, fintech and enterprise CX. Sixteen years in the category in total. Long enough to know which problems repeat and which are genuinely novel, and most of them repeat.

His role now: founder, lead strategist, and the quality bar. He runs audit calls, scopes the complex projects, and signs off on what the team ships.

Two numbers that get conflated and should not be. Sixteen years is Jay's experience in the category. Six years is how long Smart Instinct has been a Zendesk Preferred Partner. The company itself was founded in 2019.

  • 4.9 rating on Upwork from public client reviews, which is the one place you can read unfiltered feedback on the work.
  • LinkedIn, for background rather than reviews.

The team and the method

A small group of full-time and specialist contractors, each platform-certified on the tools they touch, all running the same process.

Continuity without single-person dependency. That is why the retainers work, and why a holiday on our side is not an outage on yours.

Partner status, all verifiable with the platforms directly

Seven badges. Partner status is not a logo anyone paid for. It is earned through volume, certification and direct accountability to the platform, and it means a channel into their support when something strange is happening in your account.

Where we hold no badge, and say so

We configure, build and migrate these with the same method and the same quality bar, but we are not partners and will not imply otherwise: Kustomer, Zoho Desk, Front, Re:amaze, Help Scout, HubSpot Service Hub, eDesk, Gladly, Helpshift, Pylon, RingCentral and Talkdesk. Freshdesk, Salesforce Service Cloud and HappyFox are in scope too.

Talkdesk is worth naming specifically. We hold integration certifications there, which is not a partner badge, so we do not appear in a Talkdesk badge strip anywhere on this site.

One gap that costs you money rather than us: we are not a HubSpot Solutions Partner, and a certified partner can waive HubSpot's mandatory onboarding fee. If you are buying Service Hub, that is worth knowing before you pick who builds it.

Questions we get about the company

How big is the team?

Deliberately small. A core team plus platform-certified specialist contractors, all running the same documented method. Big enough that one person going on holiday is not an outage, small enough that the founder is still on your audit call.

How long have you been doing this?

Smart Instinct was founded in October 2019 and has been a Zendesk Preferred Partner for six years. Jay has sixteen years in the category, including a decade at a prior Zendesk partner. Those are three different numbers and we keep them apart.

Can I read reviews from real clients?

Yes. The Upwork profile carries a 4.9 rating with public client feedback, which is unfiltered and not something we control. That is the honest place to look.

Do you work with agencies?

Yes, white-label. That falls under Enterprise scoping rather than a standard tier.

Where are you based?

Lehigh Acres, Florida, with a globally remote team. Timezone coverage gets scoped on the call rather than promised generically.

Check the receipts, then bring the tickets.

Verify the partner status with the platforms. Read the Upwork reviews. Then give us thirty minutes and your worst queue.
