Internal help desk
Smart Instinct is a helpdesk implementation and AI agent setup agency. We build employee service desks: the queue your own staff raise tickets in, the catalog they order from, the approvals that route to a manager, and the AI agent that answers the password question before a human ever sees it.
Same discipline as the customer side, different audience. The buyer here cares about SSO, roles, audit trail and asset lifecycle, not CSAT.
An internal help desk is the same machinery as a customer helpdesk pointed inward. The difference is who is on the other end and what they are allowed to see.
Most internal desks we inherit are a shared mailbox and a spreadsheet that one person maintains. That worked at forty people. It stops working somewhere around a hundred, usually the same quarter someone asks for an audit trail.
Employee service is not a checkbox on the plan you already pay for. On most platforms it is a different product with a different price, and finding that out after scoping is how a project gets re-approved.
Whether you run employee service in the instance you already have or stand up a second one is a real decision with a real cost attached, and it is the first thing we settle on the call rather than the last. Prices above are the vendors' published figures as of August 8, 2026 and are theirs, not ours.
Five platforms we will claim here, ordered by how often they are the right answer. The ecommerce helpdesks we work on elsewhere are customer-facing only and are deliberately not on this list.
The strongest of the five for us, and the one we have shipped most. Employee Service Suite, service catalog, tasks and approvals, IT and HR Guide templates, asset management, and Copilot intent models tuned for internal requests. Zendesk Preferred Partner for 6 years.
The enterprise answer when procurement has already chosen it. Incident, request, change, catalog and knowledge, Virtual Agent, and Employee Center, which supersedes the base Service Portal for internal use. We hold no ServiceNow partner badge and we say so on the call, not after it.
Right when engineering already lives in Jira and you want the service desk next to the backlog rather than integrated with it. Queues, request types, approvals, SLAs, assets, and the change workflow. Free for three agents, which is often the honest starting point.
Credible and cheap for internal work. Multiple departments give you the IT and HR separation, Blueprint handles the approval and provisioning states, and you are not paying for a second product to get there.
Worth it only if your company already runs on HubSpot. Internal requests become a pipeline with properties and workflows. Honest limits: this is the weakest ITSM story of the five, and we are not a HubSpot Solutions Partner, which means a certified partner can waive an onboarding fee we cannot.
Aircall, RingCentral or Talkdesk in front of the desk when staff still ring IT. Numbers, hours, a short menu, and the call logged against the employee's ticket. None of the three is a helpdesk, and we will not pretend otherwise.
Not sure which side you fall on? Book the call. We will tell you before you spend anything, and if the answer is a $20 Jira tier and an afternoon of your own time, we will say that too.
The same published prices as every other build on this site. An internal desk is not billed differently because it points inward.
$3,750. One platform, one channel, up to 2 integrations, one brand, no migration. Two to four weeks.
$7,500. One platform, multi-channel, up to 5 integrations, two brands, 90 days of history. Three to five weeks.
$12,500. Up to 2 platforms, 3 brands, 8 integrations, full migration to 250,000 records. Four to six weeks.
Past a tier limit the extra work is published too: $1,250 per integration, $2,500 per additional brand, $3,750 per additional platform. Beyond two platforms, four brands, or a regulated environment is Enterprise, from $25,000. Ongoing admin runs $800, $1,800 or $3,400 a month. The $500 audit is credited against any project booked within 30 days. You can work out your own number before you speak to anyone.
That is the first thing we scope, because it decides the budget. Zendesk sells Employee Service as its own suite at $29, $59 and $99 per agent per month paid yearly, and positions it for organisations using Zendesk for internal service. Whether you extend the instance you have or stand up a second one depends on how separate your data, brands and permissions need to be. We will give you the answer and the cost on the call rather than after scoping.
We configure it: incident, request, change, catalog, knowledge, Virtual Agent and Employee Center. What we do not have is a ServiceNow partner badge, and we will not imply otherwise. If your procurement requires a badged partner on the contract, that is a hard gate and we are not the right vendor for it.
Both. We build Jira Service Management itself, queues, request types, approvals, SLAs and assets, and we also connect an existing helpdesk to Jira when engineering work needs to live in the backlog. If you already run Jira for engineering, JSM is usually the shortest path to a working service desk.
Roles, groups and visibility rules, set at build time rather than bolted on later. On Zendesk that is brands, groups and agent permissions plus a separate Guide section. On Zoho Desk it is departments and profiles. On ServiceNow it is ACLs and separate catalog items. The test we run before handover is simple: log in as each role and try to read something you should not.
Internal is often an easier deflection problem than customer support, because the questions repeat and the answers are already written down somewhere. What decides it is grounding: the agent reads your internal knowledge base, not your public help center, and it hands off cleanly when the request needs provisioning rather than an answer. We will not promise you a percentage before we have seen your tickets.
Probably, and we will say so. At that size the honest answer is often the free Jira Service Management tier, or a second department in the Zoho Desk you already pay for, set up properly in an afternoon. Book the call and we will tell you which. We would rather lose the project than sell you a platform you grow into in three years.
Thirty minutes, no charge. Bring the onboarding request that took nine days and the access request nobody can find the approval for. You leave with a fixed price, or with the reason you do not need us yet.
